Work Arrangement
The position is based in Neunkirchen-Seelscheid. During the onboarding phase, on-site presence is required for the majority of the time to ensure efficient integration into processes, projects, and team structures. Afterward, depending on the scope of responsibilities and project requirements, there is the option to work remotely on a part-time basis.
Level of experience
Professional experience required (not an entry-level position)
Compensation
Up to €45,000 gross annual salary, depending on qualifications, experience, and area of responsibility

Your job with us
This role is not a traditional back-office position. It serves as the organizational and administrative hub of our project business—you coordinate documents, schedules, subcontractors, and invoicing processes, thereby laying the groundwork for successful projects.
You take the pressure off our project managers and ensure that technical and administrative requirements go hand in hand. Thanks to your work, clients, subcontractors, and internal teams always have clarity regarding costs, schedules, and responsibilities.
You ensure that projects run smoothly from a financial standpoint. From reviewing and preparing client invoices to tracking subcontractor orders, you are responsible for the commercial processing of projects from the initial quote through to final billing.
Your Responsibilities
Project Coordination and Documentation
Creation and maintenance of project documents, audit logs, and cost documentation.
Structured filing and traceable project documentation—quality, time, and costs always in view
Commercial Project Management
Commercial project management
Support with contracts and orders from subcontractors.
Review, preparation, and forwarding of invoices, as well as tracking of approvals.
Transparent communication of costs and work progress to project management and clients—from the initial quote to final billing.
Schedule and Deadline Management
Monitoring of schedules, tasks, and delivery deadlines.
Proactive identification of bottlenecks and coordination of solutions.
Interface and Communication
Central point of contact for project management, departments, subcontractors, and administration.
Close collaboration with department and business unit management on administrative and organizational tasks.
Clear, objective communication with diverse personalities—even when facing challenges.
Process improvement and initiative
Contributing your own ideas, improving processes, and structuring day-to-day operations.
What you need
Professional Qualifications
Completed business or technical training, or a comparable qualification.
Professional experience (at least 2–3 years) in a technical or project-related field; experience in commercial project management is a plus.
Proficiency in using Microsoft 365; experience with inventory management systems is preferred.
Fluency in spoken and written German; knowledge of English is a plus.
